Policies and Procedures

50% Non-Refundable Retainer

A non-refundable retainer equal to 50% of the total package price is required to reserve the event date. The event date is not secured until both the signed agreement and retainer are received.

The retainer compensates Photographer for reserving the date and declining other potential bookings. Because Photographer cannot rebook the reserved date once it is held, the retainer is non-refundable under all circumstances, including cancellation, postponement, change of plans, or disagreement between parties.

Additional Payments

Any payments made beyond the required 50% retainer prior to the event are applied toward the remaining package balance and are non-refundable once the event date is reserved. These payments remain transferable as service credit at Photographer’s discretion but are not refundable as cash.

Cancellation Within 30 Days of Event Date

Client acknowledges that Photographer reserves the event date exclusively and declines other potential bookings once this Agreement is executed. Because cancellations within thirty (30) days of the scheduled event date create significant business loss and limited opportunity for Photographer to secure replacement work, the Agreement may not be canceled without full financial responsibility during this period.

If Client cancels within thirty (30) days of the event date, the full remaining balance shall become immediately due and payable as liquidated damages, and not as a penalty, in consideration of the time reserved, preparation performed, and loss of booking opportunities.

Any payments previously made beyond the non-refundable retainer will be converted into a non-transferable credit that may be applied toward future photography services provided by Photographer, subject to Photographer’s availability. This credit must be used within twelve (12) months of the original event date unless otherwise agreed in writing. The retainer remains non-refundable and non-transferable under all circumstances.

Date Change Protection

Requests to change the event date are subject to Photographer’s availability. If Photographer is unavailable for the new date, the change is treated as a cancellation and all payments made remain non-refundable.

Credit Use Expiration

Any unused service credit must be applied within 12 months of the original event date unless otherwise agreed in writing.

Travel

Travel requiring overnight stay includes lodging and transportation expenses. These costs are non-refundable once booked.

Social Media Use

Photographer retains the right to use images for portfolio, website, marketing, publication, and social media unless otherwise agreed in writing.

Communication Boundary

Photographer reserves the right to discontinue communication if interactions become abusive, threatening, or inappropriate. Contract obligations remain enforceable.

Cancellation Clause

If Client cancels services for any reason, all payments made are non-refundable. Photographer is not obligated to provide replacement services unless otherwise agreed in writing.

Delivery Timeline Protection

Final galleries are delivered within approximately 4–6 weeks unless otherwise stated. Delivery timelines may extend during peak wedding season or due to unforeseen circumstances.

Photographer Discretion

Photographer reserves the right to decline or discontinue services if conditions become unsafe, hostile, disrespectful, or interfere with Photographer’s ability to perform services professionally. In such cases, any payments made remain non-refundable.

Rescheduling / Date Change

Requests to change the event date are subject to Photographer’s availability. If Photographer is unavailable for the new date, the change is treated as a cancellation.

Meal Break

For events exceeding 6 hours of coverage, Client agrees to provide Photographer with a meal at the same time as the wedding party. Coverage may pause during meal breaks.

Artistic Style

Client acknowledges familiarity with Photographer’s portfolio and accepts Photographer’s artistic style and editing discretion.
